1. 🌟 Core Philosophy & Basic Concepts
Smart Lists
Inspired by the classic GTD (Getting Things Done) methodology, One More Things organizes your tasks into pre-defined smart lists:
- 📥 Inbox: The starting point for all new thoughts and raw ideas. Capture first, organize later.
- ⭐️ Today: High-focus tasks to get done today, split into "Daytime" and "This Evening". Overdue tasks from previous days automatically roll over to the top in red.
- 📅 Upcoming: A visual calendar timeline showing your schedule for the coming days and weeks. It seamlessly overlays your system calendar events.
- 📦 Anytime: Tasks that do not have a specific date constraint but can be picked up whenever you have free time.
- 💤 Someday: Long-term ideas, wishes, or projects that you want to keep on your radar but are not ready to act on yet.
- ✅ Logbook: Automatically archives all completed or canceled tasks, serving as a history of your accomplishments.
- 🗑 Trash: Temporarily holds deleted tasks. You can recover items or empty the trash permanently at any time.
2. 🚀 Getting Started: Collecting & Organizing Tasks
Creating Your First Task
- Navigate to the bottom of any task list and click the “+ New To-do” button (or press ⌘ + N when the main window is active).
- Type in the task title and press Return to save.
- Click the task row to expand it, where you can add detailed Notes.
Setting Execution Dates (When)
In the expanded task details card, click the When button (calendar icon):
- Today: Add it to your daytime list.
- This Evening: Select this if the task is meant to be done after work or at night. It is neatly tucked away under the "This Evening" section of the Today list so it doesn't distract you during the day.
- Upcoming (Specify Date): Schedule it for a specific day in the future.
- Someday: Place it in your Someday list.
Setting Deadlines
If a task has a strict due date, click the Deadline button (flag icon). The system will automatically show countdown badges such as “X days left” or “X days overdue” to help you manage priorities.
3. 🗂️ Advanced Management: Areas, Projects & Kanban
For complex tasks, use the application's five-tier structure to break down and organize your workload:
1. Areas & Projects
- Area: Represents major parts of your life or work (e.g., "Work", "Personal").
- Project: Holds multiple related tasks toward a specific goal. Every project features a circular progress ring that automatically advances as tasks are completed.
- Tip: You can drag-and-drop tasks directly into areas or projects in the sidebar.
2. List & Kanban Views
Every project supports seamless switching between the traditional List View and the visual Kanban View:
- View Switch: Click the view toggle button (list icon
list.bulletor grid/Kanban iconsquare.grid.3x2) in the top-right corner of the project page. - Heading Mapping: In Kanban View, the project's Headings are mapped to vertical columns. Tasks not assigned to any heading will be placed in the first column—"No Section".
- Drag to Progress: Drag and drop task cards between columns to visually manage phases, workflows, or project progress.
3. Headings (Sections)
Within a project, you can create Headings (e.g., "Design Phase", "Development Phase") to group tasks and track workflows (shown as groups in List View, and columns in Kanban View).
4. Checklists & Attachments
- Checklists: For tasks requiring multiple steps, add checklist sub-items. You can drag to reorder them or click to convert any sub-item into a separate top-level task.
- Attachments: Each task supports adding 1 image attachment (PDFs, docs, or ZIP archives are not supported). Drag-and-drop images directly, or drag file URLs / web images (the system automatically compresses and saves them as
.jpgfiles). Press Space (QuickLook) to preview on macOS.
5. Repeating Tasks
For routine tasks that need to be performed regularly (e.g., "Weekly Report", "Monthly Rent"), you don't need to recreate them manually:
- How to Set: Click the Repeat button at the bottom of the task details card.
- Supported Modes:
- Daily: Repeat every X days.
- Weekly: Repeat every X weeks, with options to trigger on specific days of the week (e.g., Mondays, Wednesdays, Fridays).
- Monthly: Repeat on a specific date (e.g., the 15th of every month) or relative day (e.g., the first Monday, or the last Friday of every month).
- Mechanism: Once set, the task acts as a template. The system automatically generates a new task instance in your Inbox or Today list when the trigger date is reached.
6. Priorities & Tags
- Priority: Label tasks from P1 (high, red) to P4 (normal, grey).
- Tags: Assign multiple tags to tasks. Press ⌘ + Shift + T to open the Tag Manager panel to create tags or bind custom shortcuts. Press the corresponding shortcut in lists to quickly filter tasks.
4. ⚡ Productivity Hacks: Global Quick Entry & System Integration
1. Global Quick Entry
Capture tasks from anywhere on your Mac without switching windows. Press the global shortcut (default Ctrl + Option + Space, customizable in settings) to display the Quick Entry HUD.
Autofill Selection:
Turn this on in Settings. Highlight text in any active app (e.g., Safari, Mail, Pages) and press your Quick Entry shortcut. The selected text is automatically copied into the task's Notes field.
2. Menu Bar Extra (macOS)
Click the tray icon in the macOS menu bar to pull down a lightweight Today panel. Check off items or quickly append tasks without opening the main window.
3. Apple Ecosystem Integrations
- Calendar Integration: Grant access in Settings -> Calendars & Reminders. System events will appear at the top of your Today and Upcoming lists. You can drag events to link them to specific tasks.
- Siri & Apple Reminders Sync:
- Enable in Settings -> Calendars & Reminders.
- Reminders created via Siri on Apple devices automatically import into One More Things.

In Settings -> General, you can configure:
- Launch at Login: Enable to automatically start the app in the background when macOS logs in, keeping task capture ready at any time.

6. Things 3 One-Click Migration
Nodoo supports seamless database imports from Things 3 for a painless transition:
- Retrieve Database File: Open Finder, press ⌘ + Shift + G (Go to Folder), and enter:

Things Database.sqliteand copy it to your Desktop or another convenient location. - Start Import: In Nodoo, navigate to Settings -> Calendars & Reminders, click “Import Database” in the **Data Import** section at the bottom, and select the copied file.
- The app will automatically parse and import your areas, projects, headings, tasks, checklists, and tags, restoring your original workflow.
5. 👥 Team Collaboration: Real-time Sync & Project Sharing
The app features an optimized cloud infrastructure for global use:
The app dynamically detects your network status. Even under weak network or offline conditions, all modifications are saved locally and automatically merged bi-directionally once the connection is restored.
Linking Your Apple ID
- The app starts with a secure anonymous account so you can use all features locally without signing up.
- To sync across devices or collaborate, click your avatar and select Sign in with Apple to back up your data to the cloud.
Creating Teams & Sharing Projects
- Create Teams: In the profile window, click "Create a New Team" to generate a Team Invite Code. Share this code with team members to let them join.
- Project Sharing:
- Right-click a project and select "Share Project" to enter a collaborator's email or generate a sharing URL (
